Email, early access

Every enquiry email answered or accounted for.

The enquiries inbox is where good leads go to wait. Somebody checks it between jobs. The ones that need a decision sit there, and the ones that needed a quick answer have already gone elsewhere.

The email agent is in early access: built and available to early access clients, not yet general release. Sell it as early access and say so.

Every email in the forwarded inbox is answered, booked, handed over or set aside with a reason.

What the agent does

Reads the inbox, acts on what it can, and says why when it cannot.

Nothing is silently dropped. Every email ends up answered, booked, handed to a person, or set aside with its reason on screen.

Reads and acts on every email

Each message is answered, booked, handed to a person, or set aside with the reason shown on screen. The business sees the set-aside pile and why each one is there.

Several agents, one address

Sales, Support and Bookings can share one inbox, each with a one-line “handles” sentence. A thread sticks to the agent that took it, and the first agent takes anything unclaimed.

Replies from the client's own domain

Once the domain is verified, replies go out from the business's own address. Until then they go from the platform's sending domain carrying the business's name.

Knows when to stop

Money, complaints, legal matters and “I want a person” always go to the business. The agent does not negotiate, apologise on the firm's behalf, or guess at anything with consequences.

The same knowledge base

Notes, uploaded PDF, Word and text documents, and the business's website: the same knowledge base the phone agent answers from, so email says what the phone says.

Reads only what it is given

The agent sees the forwarded enquiries inbox and nothing else. It never reads the business's sent items.

How it goes for the customer

Forward the inbox. The rest happens in the thread.

  1. The business forwards its enquiries inbox to an address the platform mints for it. Nothing changes about the address customers already write to.
  2. Each email is matched to an agent. An existing thread goes back to the agent that took it. A new one goes to the agent whose “handles” sentence fits, or to the first agent if none does.
  3. The agent acts. It answers from the knowledge base, books a time into the diary, or hands the thread to a person. Anything it should not touch is set aside, with the reason on screen.
  4. The reply goes out as the business. From the client's own domain once verified, in the business's name before that.
  5. The exceptions reach a person. Money, complaints, legal matters and anyone asking for a human land with the business every time, never answered by the agent.

What the business gets

An inbox that is either answered or explained.

The owner stops reading every email and starts reading only the ones the agent set aside.

  • Every enquiry answered from the same facts as the phone agent, in the business's own name.
  • Bookings made from email into the diary the bookings agent already uses.
  • Handovers for money, complaints, legal matters and “I want a person”, delivered to the business rather than answered.
  • A set-aside list on screen, each email with the reason it was not handled.
  • Threads kept with the agent that took them, so a customer is not passed between Sales and Support mid-conversation.
  • A sending domain that is theirs once verified, so replies look like they came from the business, because they did.

Sold through partners

An early access pilot for the clients drowning in email

Because the email agent is early access, it is sold as a pilot: a client with a busy enquiries inbox, a forwarded address, and a clear statement that this is early access. Sold through partners: you set the price, Talkgate runs the platform. You help the client through domain verification and decide how it is bundled with the phone agent and website chat that share its knowledge base. See the partner programme.

Works with

Books into the diary the business already keeps.

The knowledge base takes notes, PDF, Word and plain text documents, and the business's website. See all integrations.
