“Somebody will call you back to arrange it” is where your clients lose the job. The bookings agent gives the caller a time while they are still on the phone.
What the agent does
The agent is connected to the business's own calendar or booking system. It sees what is free, offers it, and writes the appointment with the caller on it.

A caller who needs to move Thursday to Friday gets it moved while they are still talking. Where the booking system allows it, cancellations work the same way.
The slot is re-checked in the second before it is written. If two callers want the same time, the second is offered the next one.
A caller can ask for a staff member by name. Each person's other calendars block bookings over them, and the agent is only ever told busy or free, never titles, attendees or locations.
The caller gets a confirmation written fresh from the owner's brief, marked as a booking. A Calendly client can have a single-use booking link texted mid-call instead.
A booking calendar embedded in the business's own form. For a business with people on the road, “we're already nearby” marks the days it already has work near that address.

What the business gets
The appointment is written into Google Calendar, Apple Calendar or Microsoft 365 with two permissions only, and the calendars to use are ticked individually. For a business that runs its day in a booking system, the agent books there instead: Cliniko, GymMaster, Zenoti, Workshop Software, MechanicDesk or Fergus.
A business with no calendar gets the platform's own diary: day, week, staff and month views, drag to move, repeats, multi-day entries, and a feed each person can subscribe to on their phone.
Alongside every booking the business gets the same record as any other call: a text and email summary within seconds, the call on the dashboard, and the enquiry in the Leads list.
The same diary serves the website booking form, the email agent, and text campaigns that ask a customer to reply 1, 2 or 3. A calendar API lets a client's own software read, create, change and cancel appointments. Reminder calls are part of outgoing campaigns.
