What the agent does

Reception, scoped to one person

The PA is the phone agent built from the Personal Assistant template: one person's own line, their own diary, and nothing else connected.

Screens the call

The caller is recognised by number before the greeting plays. A known client or a VIP goes straight through, an unknown number gets a message taken, and the person's own words set the opening line.

Takes the message properly

Who rang, what about, how urgent, and how to reach them. A recording of the caller saying their own name travels with it, and a hard-to-hear email address is taken by text.

Keeps one diary

Connected to the person's Google Calendar, Microsoft 365 or Apple Calendar, the agent reads what is free, books a meeting on the call, and moves one while the caller is still talking.

Right calls put through

A per-number rule the person writes: this client always, anyone between nine and five, a message from everyone else. The onward leg is tracked, so the record shows whether they picked up.

Knows their hours

Trading hours run on the clock of the number. In a meeting, on leave, or after six, the agent takes the message and says when to expect a call back.

Texts them what happened

Within seconds of the hang-up the person has a text and an email: who rang, what for, what the agent did. The whole call is on the dashboard.

  1. The call is answeredOn the first ring, in the person's own greeting. The number matches a known client, so the agent uses their name.
  2. The rule is appliedThe diary says meeting, so the client is not put through. The agent asks what it can help with.
  3. The diary is offeredThe client wants to talk. The agent reads the diary, offers Thursday at three, and writes the meeting in.
  4. The person is toldBefore the meeting ends their phone has a text: who rang, what they wanted, and the slot now in Thursday's diary.

What the business gets

A gatekeeper that never loses a message

Every call logged with its summary, the message by text and email within seconds, meetings written into the person's own calendar with two permissions only, and the caller's own voice saying their name attached to the enquiry.

The PA template is deliberately narrow: one line, one diary, no job system, no CRM. A business that needs the agent writing into its own software wants reception instead; a person who wants an emergency path after hours adds the on-call ladder.

The same locked rules apply as to every agent: it never guesses, never pretends to be human, never takes card numbers, and never gives medical, legal or financial advice.

The person's own number can be diverted to the agent on busy, on no answer and when the phone is off. Or the agent gets its own local number for the business card, and the mobile stays private.
